Reply to every Google review, ideally within 48 hours, in a personal way: thank the customer with a detail of the job, and for a negative review, acknowledge the problem, offer a solution and invite them to get in touch, without long justifications. Here is why it matters, the method, 12 templates for Swiss SMEs and the mistakes to avoid.
Why reply to every review
- Readers of your reviews see an attentive business.
- A good reply to a negative review often reassures more than a profile with no criticism.
- Google itself recommends replying to reviews constructively.
- Replies show the profile is looked after and active.
How to reply, step by step
- Open your profile, signed in to the managing account.
- Tap “Reviews”, then “Reply” under the review.
- Write your reply (it’s public and signed with the business name).
- Read it over, then post. You can edit or delete it later.
The method for a positive review
- Thank them by first name if the review shows it.
- Mention a detail: the service, the place, the team member.
- Add a personal sentence, not a slogan.
- Close simply.
The method for a negative review
- Wait a few hours if the review makes you angry.
- Thank them for the feedback and acknowledge how they felt.
- Explain in one sentence, without long justifications or blaming the customer.
- Offer a concrete solution or a direct contact.
- Share no private information about the customer.
Write for the future customers who will read the reply, not to win the argument with the reviewer.
12 templates to adapt
Positive reviews
- Trades: “Thank you, Sarah! Glad you love the new bathroom. The large-format tiles were a nice challenge. Hope to work with you again.”
- Garage: “Thanks, Mr Keller! Pleased the car was ready in time for your holiday. Safe travels, and see you at the next service.”
- Salon: “Thank you, Lea! The whole team is happy you like the new cut. See you soon.”
- Restaurant: “Many thanks! The chef will be delighted you enjoyed the rösti. We look forward to your next visit.”
- Review with no text: “Thanks for your rating, see you soon!”
- Loyal customer: “Thank you, Peter, for your loyalty over all these years. It’s always a pleasure working for you.”
Mixed reviews
- Delay: “Thanks for your feedback. You’re right, it took longer than planned because of a late part. We’ve changed how we schedule. Thank you for your patience.”
- Price: “Thanks for your review. Our quotes list every item; feel free to call us if anything was unclear and we’ll go through it with you.”
Negative reviews
- Job gone wrong: “We’re sorry the work didn’t meet your expectations. Could you call us on 041 …? We want to find a solution with you.”
- Waiting on the phone: “Thanks for letting us know. We were short-staffed that week; we now call everyone back. Sorry for the wait.”
- Unknown person: “We can’t find your visit in our records. Could you contact us at info@… so we can understand what happened?”
- Abusive review: “We’re sorry to read this. We’re available to talk directly on 041 ….” Then report the review (see how to remove a Google review).
How fast should you reply?
Aim for 48 hours. A quick reply to a negative review limits the damage: the unhappy customer feels heard, and readers see you react. So you don’t miss any, turn on review notifications in your profile settings.
Mistakes to avoid
- Copying the same reply everywhere: readers notice, and it looks automated.
- Replying in anger: the reply stays visible for years.
- Mentioning private information about the customer (address, amount, health details).
- Posting a private phone number: use the business number.
- Promising a discount in exchange for removing the review: that’s prohibited.
- Stuffing the reply with keywords: it’s written for people.
In German or French?
Reply in the language of the review. In Switzerland, a customer who writes in German or French will read a reply in that language more easily, even a short one.

Who replies and when: organising the team
| Review type | Who replies | Timing |
|---|---|---|
| Positive | A designated manager | Within 48 h |
| Mixed | The person responsible for the service concerned | Within 48 h |
| Negative | The owner or manager, after checking the file | Within 24 to 48 h |
| Fake or abusive | The owner: short reply, then report | Same day |
Reviews with photos
A review with a photo draws more attention. For a positive one, thank them referring to what the photo shows; for a negative one showing a defect, acknowledge the visible problem and offer to fix it: readers judge mainly your reaction.
A model reply, broken down
“Thank you, Ms Graf, for your feedback (1). You’re right, the technician arrived an hour late (2); an earlier job took longer than planned (3). We now always text customers if we’re running late (4). Please call us on 041 … if there’s anything we can do (5).” — (1) personal thanks, (2) acknowledgement, (3) one-sentence explanation, (4) concrete change, (5) contact.
Frequently asked questions
Should I reply to reviews with no text?
Yes, a simple thank-you is enough. It shows the profile is looked after.
Can I edit a reply I’ve already posted?
Yes. From the profile, open the review and edit or delete your reply.
Does replying help my ranking?
Google recommends replying to reviews. The main effect is on readers: a looked-after profile builds trust and gets more calls.
What if the reviewer replies aggressively?
Don’t continue the argument in public. Offer direct contact, then report the review if it breaks Google’s rules.
Can I ask the customer to change their review?
You can fix the problem and tell them they can update their review if they wish. Offering anything in return is prohibited.
Should I sign replies with a name?
It isn’t required, but a signature (“Marco, workshop manager”) makes the reply more human.
